What personal data we collect and why we collect it

As part of good counselling practice we need to obtain and process information. This includes your name, address, date of birth, email address and such other personal information as may be necessary. Notes will also be taken at each counselling session in which you participate.

Any personal data provided by you to us through any means (verbal, written, in electronic form, or by your use of our website) will be held and processed in accordance with the data protection principles set out in the Data Protection Act 1998, the General Data Protection Regulation and the BACP Ethical Framework, for the purposes for which you have given consent, to provide the services you have requested from us, and to meet the legitimate interests of the service.

To enable us to provide adequate support to you, we may record information which could be regarded as sensitive.  This information will be stored securely, and if stored electronically, then under passwords only known to your counsellor.  This information will NOT be shared with anyone else without your consent unless there is a clear legal requirement for disclosure.

Your personal information will be stored securely and confidentially. It will only be accessible to relevant staff.  Your contact details will be removed from the records once you are no longer linked to the practice.  We undertake an annual review of our data to determine this.

You have the right to ask to see any information we hold about you by submitting a ‘Subject Access Request’ to the practice.  You also have the right to ask for information which you believe to be incorrect to be rectified.

If you are concerned about the way your information is being handled, please speak to us.  If you are still unhappy you have the right to complain to the Information Commissioner’s Office.

Use of the “Contact Me” form

When visitors use this form we collect the data requested. We also collect the visitor’s IP address and browser user agent string. This helps us to detect spam and deter potentially malicious attacks on our website.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
